Licensing will typically dictate a fixed students-to-staff ratio of children to staff that must be present in a room at any given time. It’s critical that both teachers and administrators be aware when a room is ‘out of ratio’ so that they can remedy the issue. Don't worry, we got you!
As an administrator, you can enter the desired ratio into HiMama. The target ratio is entered per classroom and can be changed at any point. By entering a target ratio, both teachers and administrators will then be visually notified when a classroom is out of ratio in HiMama.
#1: Click on 'Logins & Configuration'.
#2: Click on 'Classroom Settings'.
#3: Enter a number on the 'Student-Staff Ratio' field.
#4: Make sure to click on 'Save'.
Once a target ratio has been set, HiMama will now alert you when each individual classroom is presently out of ratio. Rooms that are presently out-of-ratio will be highlighted in red on the dashboard page, helping you identify problems in real-time, and address staffing issues faster than ever!
Teachers will also see an alert on the classroom attendance page when their room is out of ratio.
Things to note
- Currently, the Out of Ratio alert is visual only, meaning that there's no mobile push notification or sound.
- The alerts are triggered when there is a deficit of check-in staff in the room because this has implications for licensing. They do not presently address situations where there is an abundance of staff (i.e excess capacity).
- If for whatever reason you wish to remove these alerts, please remove the number set up on the 'Student-Staff Ratio' field, under the 'Classroom Settings' section.
