Overview
Discounts are a great way to help you keep your main tuition rate steady and reduce the amount that a specific child has to pay because of a special rate offered.
Discounts are offered as a percentage off or as a dollar value off of a child’s standard fees on every invoice. Once a discount is created it is available to be used center wide. This will help with standardizing the way that all discounts show up on your tuition invoices.
Creating a discount
Step 1
Go to the billing module, visible on the side navigation bar.
Step 2
Click the “discounts” tab, located on the top navigation bar.
Step 3
Click the “New Discount” button.
Step 4
Fill out the details about this discount.
If you select “Percentage” this will reduce each invoice by that percentage amount. If you select “Fixed” this will reduce each invoice by a standard $10 amount.
Step 5
Click Save
Adding a discount to a child
Step 1
While in the billing area of HiMama, click on the Children tab located in the top navigation bar.
Step 2
Find the child that requires a discount.
Step 3
Beside the invoice button there is a drop down arrow. Click that arrow and you’ll find an option to add a discount. Click that option.
Step 4
A module will pop open where all the discounts available to your center are located. When you select one you can add an expiry date if this discount is only for a limited time.
Click submit and you’re all done.
Now every invoice generated for this child will be reduced by this discounted amount.
Things to note
Any discount that you attach to a child will reduce the rate on every invoice generated. So use caution when adding discounts, if you want to give a child only $10 off for the month but you generate invoices on a bi-weekly basis. You would need to add a $5 discount amount to that child, so that when the invoice is generated twice for the month the two discounts add up to $10 for the month, instead of $10 off of each invoice.
Only one discount can be added to a child at a time. You have the ability to remove and replace discounts but only one will be used to calculate the reduced amount.
Discounts are only used to reduce tuition amounts. If you create a one- time invoice or an additional sign up fee that needs a discount, we suggest that you reduce that amount manually prior to inserting the amount into the invoice.
